Booking requests or reservations must be sent to Expo Rooms by e-mail at firstname.lastname@example.org or through Expo Rooms web site request form. Expo Rooms replies on working days (Mon-Fri) for all booking requests. If Expo Rooms has not received confirmation of a booking by the time the option date is due, the reservation will automatically be cancelled.
Bookings made during trade fair or other peak periods will normally attract full cancellation amendment or no-show penalties. Nevertheless a hotel cancellation policy and/ or option date will be provided with each booking and service.
The terms of cancellation, amendment, minimum night stay or number of rooms for each specific case are part of the offer for offline bookings or part of the reservation process for online bookings. Non-refundable reservations cannot be refunded i.e. if you are unable to travel due to any circumstances, you will not receive any refund of monies paid.
Cancellation deadline - Example: If you travel on 20th Jan and cancellation policy of reservation is – free cancellation before 5th Jan, this means that you need to send cancellation request and to receive confirmation of cancellation by Exporooms in writing not later than 4th Jan 23:59 Hotel local time.Your reservation is cancelled when you receive cancellation confirmation from ExpoRooms.
Minimum night stay is part of the reservation policy. When booking online, If your search does not meet the minimum night stay requirement, then you will see the exact number of nights instead of a book button.
For offline requests, minimum night stay conditions will be part of the offer. If the original booked hotel is closed, over booked or has maintenance problems and/or cannot provide the reserved room(s), the hotelier or supplier is responsible for finding you an alternate accommodation of similar standards. Where we have prior notice we will contact you by e-mail. ExpoRooms accepts no liability for any losses or costs that might occur as a result of re-location as this is completely beyond our control. Circumstances like the renovation of the hotel, reservation issues and special guest needs may affect your stay. Please let the hotel know about any of your special requests at check-in.In case the original booking cannot be allocated, Exporooms would offer alternative accommodation, but the same price range, location and category is not guaranteed. Exporooms is not liable for any refunds in the event of overbooking or force majeure or any other cause beyond the control of Exporooms.
Expo Rooms proposes 2 types of payments: by credit card (PayPal) or by bank transfer.
100% of a confirmed by client booking has to be transferred to Expo Rooms account prior to the cancellation deadline or option date for offline bookings and in time of reservation for Online bookings. Every payment must be accompanied by a remittance advice according to payment instructions given by Expo Rooms consultants.
A valid credit (debit) card might be required by the hotel to secure any incidental charges and extra services upon check-out (i.e. parking, phone calls, room service, pet fee, wifi, room service etc.). The credit card authorization for incidentals will vary by each hotel. Please contact the hotel directly to confirm their credit card policies on incidental charges. Furthermore, hotels may charge city taxes, which are usually not included in the room prices. The hotels collect these fees regardless of how or where the room is purchased. These fees are not charged or collected by ExpoRooms. Extra fees may be charged in the same manner for consierge services, bell boy assistance, newspapers, safes in the hotel and cleaning.
Hotel Voucher customized with the logo of Expo Rooms will be send to client by e-mail once online or offline reservation is finalized. If you do not receive your voucher up to 24 hours after online reservation, please check your spam folder or request a new one by phone or e-mail.
Client must present the voucher he received at hotel reception upon arrival. All the necessary information for the hotel to allocate clients booking is on the voucher. In case hotel staff is unable to allocate the reservation, emergency phone number in the same voucher should be dialed.
It is client’s responsibility to recheck the hotel voucher and make sure that all of the details are correct. Accommodation will only be provided in accordance with the details in the confirmation. Where the details on the confirmation are not correct, client should contact Expo Rooms by e-mail at email@example.com or call the emergency number stated in the voucher.
The voucher is not an accountable document and will not be accepted by the service provider if booking has been amended or cancelled and the client does not carry the updated copy of the Service Voucher.
Expo Rooms will issue to clients all invoices in Euro. All invoices are due and payable without discount, set-off or other claim client may have against Expo Rooms. All invoices not paid by the due date might result cancellation of service.
Reservation refund policy will be provided with each booking and service. Refund requests will only be processed if received in writing within 14 days from the completion date of the travel component. A period of 21 days is required to process any refund requests. No claims would be entertained after a refund is processed. Any refunds that are processed to the client via wire transfer or credit card will incur a 25.00 EUR administrative processing fee. If you were not able to use single travel components either because you have returned home earlier or due to other urgent events/emergencies, you have no right to claim for refund. However, we will do our best to contact our service providers to request for a refund of the saved expenses.
When you book with Expo Rooms, you accept responsibility for any damage or loss caused by you or any member of your party. Full payment for any such damage or loss must be paid direct at the time to the principal(s) concerned. If you fail to do so, you will be responsible for meeting any claims subsequently made against us (together with our own and the other party’s full legal costs) as a result of your actions. Principals reserve the right at any time to terminate your stay/transfer or that of any member of your party due to your misconduct, where justified in their reasonable opinion. No refunds will be given. Furthermore, neither the principals nor we shall be under any obligation whatsoever to pay compensation or meet any costs or expenses you may incur as a result of your stay/transfer being terminated.
Expo Rooms shall not be liable for failing to perform its obligations hereunder because of circumstances reasonably beyond its control. Such circumstances shall include (without limitation) any acts or omissions of any government or governmental authority, natural disaster, act of a public enemy, acts of terrorism, riot, sabotage, labor disputes, power failure, delays in transportation or deliveries of supplies or materials, acts of God, computer failure, hardware failure, telecommunications failure, software failure, failure of users to cooperate with the reasonable requests of Expo Rooms, breach of this Agreement by users, and any other events reasonably beyond the control of Expo Rooms.
You must be at least eighteen (18) years of age to request rooms, book online with Expo Rooms or otherwise use the Website. By using the Website, you represent and warrant that: (1.) you have the right, authority and capacity to enter into this Agreement and to abide by all of the terms and conditions of this Agreement; (2.) all registration and listing information you submit is truthful and accurate; (3.) you will maintain the accuracy of such information;( 4.) you are 18 years of age or older; and (5.) your use of the Website does not violate any applicable law or regulation.
